Creating Loyalty Tiers

Learn how to create and manage VIP tiers that reward your most loyal customers with exclusive benefits, better earning rates, and special perks.

Overview

Loyalty tiers create a progression system that encourages repeat purchases and long-term engagement. Customers advance through tiers by accumulating points, completing orders, or receiving invitations.

What Are Loyalty Tiers?

Tiers are membership levels with escalating benefits. As customers reach higher tiers, they unlock:

  • Better point earning rates - Earn more points per dollar spent
  • Better redemption rates - Get more value when spending points
  • Exclusive rewards - Access special promotions and products
  • Enhanced perks - Higher scan rewards, review bonuses, referral benefits

Prerequisites

Before creating tiers, ensure you have:

Step-by-Step Guide

Step 1: Navigate to Loyalty Tiers

  1. Log in to the Batch Admin Dashboard
    • URL: https://account.batchsys.com
  2. Click Loyalty in the left sidebar
  3. Select Tiers
  4. Click the + Create Tier button (top right)

Step 2: Configure Tier Information

The tier creation form is divided into two sections: Information and Rewards. Start with the Information section.

1. What is the name of your tier?

Enter a descriptive tier name that customers will see:

  • Use names that convey status and achievement
  • Keep consistent naming convention across tiers
  • Avoid overly complex or confusing names
  • Consider your brand voice (casual vs premium)

2. What is the threshold range for this tier?

Define the minimum and maximum values customers need to qualify for this tier.

How Ranges Work:

Bronze Tier:   0 - 99 points
Silver Tier: 100 - 499 points

Important Notes:

  • First tier always starts at 0
  • End range must be greater than start range
  • Ranges should not overlap or have gaps
  • Use high number (999999) for unlimited top tier

3. What is the threshold type?

Choose what metric determines tier qualification:

Threshold Type Comparison:

Current Point Balance:

  • Customers can drop down tiers if they spend points
  • Encourages saving points for tier benefits
  • Creates dynamic tier movement
  • Example: Customer has 600 points → Gold tier. Spends 300 points → Silver tier.

Overall Points Earned:

  • Customers never drop down tiers (lifetime achievement)
  • Rewards cumulative engagement
  • More stable tier status
  • Example: Customer earned 5000 points total → Platinum forever, even after spending.

Orders Completed:

  • Based purely on purchase count
  • Simpler to understand for customers
  • Good for subscription or frequent purchase businesses
  • Example: Customer places 10 orders → Silver tier automatically.
Recommended Threshold Type

Use Overall Points Earned for most programs. It rewards loyalty without punishing customers for redeeming points, and provides stable tier status.


4. Upload image for wallet (Optional)

Upload a visual badge customers see in their mobile wallet:

Best Practices:

  • Use distinct colors for each tier (Bronze=brown, Silver=gray, Gold=gold, Platinum=white)

  • Keep design simple and recognizable at small sizes
  • Match your brand aesthetic
  • File formats: PNG with transparency preferred

5. Would you like this tier to be by invitation only?

Toggle: ON/OFF
Default: OFF

Controls whether customers can reach this tier through normal progression or require manual invitation.

When OFF (Normal Tier):

  • Customers automatically enter when they reach threshold
  • Standard tier progression
  • Most tiers should use this setting

When ON (Invite-Only Tier):

  • Customers cannot reach tier through points/orders alone
  • Admin must manually invite customers
  • Creates exclusivity for VIP program
  • Referral programs will not work for this tier

Use Cases for Invite-Only:

  • VIP tier for high-value customers
  • Influencer/ambassador program
  • Limited capacity exclusive tier
  • Special employee or partner tier
Invite-Only and Referrals

When a tier is invite-only, referral programs for that tier are disabled. Use the "Overrule Invite" option in referral settings to bypass this if needed.


Step 3: Configure Earning & Redemption Rates

These settings control how customers earn and spend points within this tier.

6. How many points should a person earn per dollar spent?

Define the Point Earning Ratio (PER) - how many points customers earn per dollar spent.

Advanced Ratios:

1.5 points per dollar: 3 points / $2 spent = 1.5 ratio
0.5 points per dollar: 1 point / $2 spent = 0.5 ratio

Best Practices:

  • Increase earning rate with each tier (1x → 2x → 3x → 5x)
  • Keep ratios simple (whole numbers when possible)
  • Consider your profit margins
  • Typical range: 1-10 points per dollar

Calculating Customer Value:

If 100 points = $1 discount value, then:

  • 1 point per dollar = 1% cashback equivalent
  • 2 points per dollar = 2% cashback equivalent
  • 5 points per dollar = 5% cashback equivalent

7. What is the point ratio when a customer converts points into dollar value?

Define the Point Spending Ratio (PSR) - how much discount customers get per point spent.

How This Works:

  • Higher tiers require fewer points for same discount
  • Creates incentive to reach higher tiers
  • Platinum members get better "point value" than Bronze members

Complete Tier Economics Example:

Bronze Member:
- Earns: 1 point per $1 spent
- Redeems: 100 points for $1 off
- Effective cashback: 1% ($100 spent → 100 points → $1 back)

Platinum Member:
- Earns: 5 points per $1 spent
- Redeems: 50 points for $1 off
- Effective cashback: 10% ($100 spent → 500 points → $10 back)

Best Practices:

  • Improve redemption ratio at higher tiers
  • Keep math simple for customers (100 points = $1 is easiest)
  • Balance earning and redemption ratios to control costs
  • Monitor redemption rates and adjust if needed

8. Would you like to offer more details about the tier? (Optional)

Add a rich-text description explaining tier benefits to customers. This appears in the customer app when viewing tier details.

  • Special features (early access, events, etc.)

Example Description:

Welcome to Gold Tier!

Benefits:
• Earn 3 points per dollar spent (3x earning rate)
• Redeem 75 points for $1 off (better value)
• 10% bonus points on product scans
• 50 bonus points per product review
• Priority customer support
• Exclusive Gold member promotions

Keep earning to reach Platinum tier at 1,500 points!

Step 4: Configure Rewards & Bonuses

Click Next to proceed to the Rewards section, where you configure additional earning opportunities and tier completion rewards.

9. Scan reward details

Configure rewards customers earn when scanning product QR codes (product authentication).

  • Increase scan reward with tier level
  • Use points for loyalty programs, % off for immediate sales
  • Consider product margins when setting % off values
  • Scan rewards stack with purchase points

10. What is the point value per customer's review?

Enter points awarded when customers submit product reviews.

11. Allow rewards on scan

Toggle: ON/OFF
Default: ON

Controls whether scan rewards (configured in #9) are active for this tier.

When ON:

  • Customers receive scan rewards when scanning products
  • Scan reward type and value apply

When OFF:

  • Product scans do not grant rewards
  • Use for tiers where you want to disable scan bonuses

Typical Setting: ON for all tiers


12. Do you want to give points on each order completed?

Toggle: ON/OFF
Default: ON

Controls whether customers earn points based on order purchases (using the Point Earning Ratio from #6).

When ON:

  • Customers earn points on every order based on amount spent
  • Standard loyalty behavior
  • Example: $100 order × 2 points/dollar = 200 points

When OFF:

  • Customers do NOT earn points on purchases
  • Use for special tiers where points come from other actions only
  • Rare use case

Typical Setting: ON for all tiers

Disable Points on Order

Only turn this OFF for special promotional tiers where you want to grant benefits without purchase-based earning. Most tiers should have this ON.


13. Should the amount spent be pre-tax?

Toggle: ON/OFF
Default: ON

Controls whether points are calculated on pre-tax or post-tax order total.

When ON (Pre-Tax):

  • Points calculated on subtotal before tax
  • Example: $100 subtotal + $8 tax = points earned on $100

When OFF (Post-Tax):

  • Points calculated on total after tax
  • Example: $100 subtotal + $8 tax = points earned on $108

Tax Calculation Comparison:

Order: $100 subtotal, $8 tax, $108 total
Earning Rate: 2 points per dollar

Pre-Tax ON: $100 × 2 = 200 points
Pre-Tax OFF: $108 × 2 = 216 points

Recommended Setting: ON (Pre-Tax)

14. Would you like this tier to have a referral program?

Toggle: ON/OFF
Default: OFF

Enable referral rewards for this tier. When ON, customers in this tier can refer friends and earn points.

When OFF:

  • No referral program for this tier
  • Skip referral configuration

When ON:

  • Referral form appears with additional settings
  • Customers can share referral links
  • Both referrer and referred friend earn rewards

  • Invite-only tiers block referral access
  • Standard behavior

When ON:

  • Referral link grants access even if tier is invite-only
  • Useful for exclusive tiers with selective referral access

Example Use Case:

Platinum Tier:
- Invite Only: ON
- Has Referral: ON
- Over Rule Invite: ON

Result: Only Platinum members can invite others, bypassing the invite-only restriction.
Only Converted User
Toggle: ON/OFF
Default: OFF

Controls whether referral rewards require the referred user to make a purchase (conversion).

When OFF:

  • Referrer earns points as soon as friend signs up
  • Immediate reward
  • Risk: Low-quality referrals (fake accounts)

When ON:

  • Referrer only earns points after friend completes qualifying action
  • Requires order completion (configurable)
  • Higher quality referrals

Best Practices:

  • Use "Only Converted User: ON" to reduce fraud
  • Require at least 1 order for quality referrals
  • Set minimum spend above average order value
  • Higher tiers can have stricter conversion requirements

15. How would you like to reward your customers when they complete tier?

Add optional rewards customers receive when reaching this tier. This creates a "tier achievement reward" moment.

Adding Tier Completion Rewards:

  1. Click + Rewards button
  2. Select reward type
  3. Configure reward details
  4. Click Add
  5. Repeat to add multiple rewards

Creating Promotions

Click "Create rewards" link to open the promotions page and create new discount codes. You must create promotions before assigning them to tiers.

Best For: Encouraging immediate post-tier purchase


Collectible/NFT Reward

Award a digital collectible or NFT.

Step 5: Review & Save

  1. Review all tier settings in both Information and Rewards sections
  2. Click Back to edit Information section if needed
  3. Click Save to create the tier

The first tier you create automatically becomes the "Entry Tier" - all new customers start here by default.


Managing Multiple Tiers

Creating a Complete Tier Structure

Follow this order when building your tier system:

1. Create Entry Tier First:

Tier Threshold Best Practices

Ensure No Gaps or Overlaps:

Troubleshooting

Customer Not Advancing to Next Tier

Issue: Customer reached threshold but didn't tier up

Solutions:

  1. ✅ Check threshold type:
    • Current Point Balance: Must have points in account (not spent)
    • Overall Points Earned: Check lifetime points in customer profile
    • Orders Completed: Verify order count
  2. ✅ Verify tier ranges have no gaps
  3. ✅ Check if next tier is invite-only
  4. ✅ Refresh loyalty status: Go to Customer → Click "Sync Loyalty"

Points Not Calculating Correctly

Issue: Customer earning wrong point amount per purchase

Solutions:

  1. ✅ Verify current tier assignment
  2. ✅ Check Point Earning Ratio (PER) for that tier
  3. ✅ Confirm "Give points on order" is ON
